Export mailbox data as a file via Outlook desktop app

This article will guide you through how you can export your mailbox data (.pst format file) and upload it to another mailbox.

 

Export Outlook data file:

1. Open Outlook app via desktop or laptop and navigate to the top left corner of the app, locate "File" and select it.

2. On the new screen that has appeared in the left top corner, select "Open & Export", And select "Import/Export" on the right hand side pane.

3. New menu should appear named "Import and Export Wizard", from available options select "Export to a file" and click "Next" at the bottom right of the wizard menu.

4. On the next screen select "Outlook Data File" and press "Next".

5. The following screen will prompt you to select which folder you wish to export, to export the whole mailbox (including deleted items, drafts, sent items etc.) select the very top option which should contain your email. Make sure that "Include subfolders" option is ticked. Once the selection is made, click "Next".

6. The next screen will prompt you to select a location on your device where you wish this file to be saved and whether or not you wish for duplicate items (such as emails and contacts) to be removed or exported. Please select the option that suits you best, and once selected, press "Finish".

7. Last screen will prompt you whether or not you wish to setup a password to password protect the file, if you do not wish to setup a password, leave the text boxes blank and press "OK"

8. Depending on the size and quantity of files it may take from few minutes to hours for the export to complete, you will be able to track the progress via the progress bar and which folder it is currently working on. Exporting the Outlook data file will not delete the original files or data in your mailbox, instead, it creates a copy of the original files, so you don't have to worry in case you still need to use the mailbox.

Importing Outlook data file:

1. As with the previous one, we start by opening Outlook app via desktop or laptop and navigating to the top left corner of the app and locate "File" option. Once "File" is pressed a new menu will appear.

2. In the new window, select "Open & Export" in the top left corner and select "Import/Export" in the right hand side pane.

3. A new wizard menu will appear, from available options, select "Import from another program or file" and press "Next".

4. On the next screen, select "Outlook Data File (.pst)" option and press "Next".

5. The following menu will prompt you to select a location of where your Outlook data file is stored locally on your device, locate your .pst file and select if you wish duplicates to be replaced, created or removed from your imported data file to your mailbox.finish_import.png

6. On the next screen, select the folders you wish to import and whether you wish to import them into the current mailbox or into the same folders of the current mailbox. (Please note, if the folders name is different from the current mailbox, folder will not import items into it, but will create an additional folder to store the imported files in. Once selected, click "Finish".

7. As previously, once "Finish" is pressed, if the file has been previously password protected, menu will prompt you to enter the password to start the import, likewise you will be able to track the progress of your items being imported.
