Sharing an outlook calendar

 
There is multiple ways to share your calendar with someone else, who will be able to see everything in your calendar, and with the correct permissions, will even be able to edit items.
 
Note: Calendars should only be shared within your organisation, and with a trusted colleague.
 

Option 1

Share your calendar
  1. On the left-hand side of the page, select Calendar to go to Calendar.

  2. At the top of the page, select Share, and choose the calendar you want to share.

    Note: You can't share calendars owned by other people.

  3. Enter the name or email address of the person with whom you want to share your calendar.

  4. Choose how you want this person to use your calendar:

    • Can view all details lets the person see all the details of your events.

    • Can edit lets the person edit your calendar.

Select Share. If you decide not to share your calendar right now, select Remove .

Notes: 

  • When sharing your calendar with non-Outlook.com users, such as Gmail users, they will only be able to accept the invitation using an Outlook.com or an Microsoft 365 account.

  • Calendar items marked private are protected. Most people with whom you share your calendar see only the time of items marked private, not the title, location, or other details. Recurring series marked as private will also show the recurrence pattern.

 

Option 2

Person A: User who wants to share calendar with another or multiple users.

Person B: User who wants to access Person A calendar.

Person A

  1. On the left-hand side of the page, select Calendar to go to Calendar.
  2. At the top-right of the page, select Share, and choose the calendar you want to share.
  3. Change the permission level of "My Organization" to can view all details and then press Apply then OK.

4. (Optional) If you don't want to your whole organization to have permission click Add.

5. A new window called "Add User" will pop up, search for Person B in search box then click Add then OK.

6. Change the permission level of Person B to can view all details and then press Apply then OK.

Person B

  1. Go to your calendar then right-click on my calendar.Calender B step 1.png
  2. Go to Add Calendar and click From Address Book.Calender B step 2.png
  3. A window named "Select Name: Offline Global Address List" will pop up.
  4. In the search box search for Person A email then press Calendar then OK.
